Every calendar page on this site is built to print cleanly. This guide covers how to use the schedules as printable, drop-into-a-binder payroll calendar templates organized by year and frequency.
The basic print workflow
Open the calendar page for your state, year, and frequency (e.g., California 2025 biweekly). Press Ctrl+P (Windows/Linux) or Cmd+P (Mac) to open the browser's print dialog. Choose "Save as PDF" to generate a self-contained file you can email or store, or send to a physical printer for the binder version. The pages are styled to print legibly without the navigation, sidebar, or ad slots — only the calendar table, holiday adjustments, and explainer text appear.
What's on the printable page
Every printable calendar page contains: the full pay-period schedule with start date, end date, pay date, and IRS deposit deadline; a list of pay periods with holiday-adjusted pay dates; the state wage payment rule; the state employer quick-reference table (statute, final-paycheck deadline, minimum wage, overtime authority); and an explanation of how the prior-business-day rule was applied. Everything an HR coordinator needs to brief a manager or a new hire on the year's payroll schedule fits on 2–3 printed pages.
Year-end binder organization
The recommended binder organization for a small business with employees in multiple states is one tab per year, then within each year tab one printable per state-frequency combination you actually run. A business running biweekly payroll for employees in California, Texas, and Illinois in 2025 would print three pages and put them behind the 2025 tab. Add the federal holiday schedule (e.g., 2025 federal holidays) at the front of each year's section.
What we don't include in the print
The printable view deliberately strips the recommended-resources sidebar, the AdSense placeholders, and the in-content tag list. The goal is a clean, single-source-of-truth reference that fits in a binder without distracting visual noise. Sharing with your bookkeeper
Email the PDF to your bookkeeper or accountant before the start of each year so they have the same reference you do. The IRS deposit columns are particularly useful here — your bookkeeper needs the deposit deadlines as much as you need the pay dates. Find a small-business bookkeeper if you don't have one yet; the cost-to-value ratio for outsourced bookkeeping is one of the better deals in small-business operations.
Updating mid-year
If federal holiday legislation changes mid-year (the most recent example was the Juneteenth designation in June 2021), regenerate the affected calendars and reprint the binder pages. Any pay date that was scheduled to land on the new federal holiday will shift backward to the prior business day under the standard small-business convention. The schedules on this site update automatically when the underlying federal holiday rules change.
